Meeting Minutes

Members is Attendance: Bruce Cody

Business

  1. Call the meeting order at 7:34pm
  2. Adopt minutes from previous meeting
    • Called to adopt - Bruce Cody
    • 2nd - Carl Haase
  3. Financials and Accounting
    • Retrofits and new decals complete on the Fire & Rescue Trailer - $17,845.06
      • Action: Bruce to speak with Shelley about the remainder of F&S budget left over from retrofit (ie. brakes for water trailers)
    • Currently 12 members with unpaid dues - Odoo will send automatic updates to those members until paid
    • Continue to work on removing firetruck from the books
    • Continue to try and e-transfer money to Lyle Ollenburger for AED enclosure material costs (Note: decided to e-transfer money to Kelley and provide Lyle with cash as he was having problems with passwords)
    • Request for comparison sheet of budget.  Carl continuing to investigate Odoo reporting since upgrade - Not happy with budget reporting
  4. Correspondence & Membership Maintenance - Kelly & Bruce
    • No mass email since last BOD - Action: Bruce to write an update and will include: Fire Trailer updates, FT budget, next steps
      • Updated fire and safety procedure document
      • GSDC updates and next steps
    • One person has stepped forward to help with July 1 Canada Day events - no one has stepped forward to lead. Action: Kelly to post 'looking for Social Committee volunteers and lead' on KVCA Village FB Group page
  5. Common Areas Agreement Update - Bruce
    • Steve Eccelstone (president of 771) still reviewing and has not yet signed
    • Tom Harding has stepped down as 832 strata president.  Jeff Brownridge (new president for 832) has signed on behalf of 832
  6. Community Activities and Committees - Bruce
    • Status of setting up a Social Activities Committee: One person has stepped forward to help with July 1 Canada Day Events - no one has stepped forward. Action: Kelly to post 'looking for Social Committee volunteers and lead' on KVCA Village FB Group page
    • Bruce to reach out to Darryl Binnion to book in Shanks Christmas Social
    • Status of setting up a Road and Area Maintenance Committee: Currently, no funds reallocated from Strata 771 for snow clearing
    • Bruce has obtained previous snow clearing contracts from Brian Bell and will forward information to Rick Spasiuk.  Action: Rick to investigate and contact past contractors to provide snow clearing estimate for entire KVCA community.  Colin will assist
  7. Fire & Safety Update - Bruce
    • 2nd AED Housing - complete and installed by Marina gate.  Connected to electricity
    • Fire Trailer build - retrofit complete.  Installed beside AED beside Marina gate.  Connected to electricity
    • Retrofit came in under budget.  Action: Bruce to speak to Shelley re: remaining F&S budget
  8. Green Space Development Committee update - Leanne Gress-Blue and Jeff Smith
    • Leanne provided overview of GSDC and of their master plan
    • Reviewed GSDC green space survey
      • Decided to remove increase of membership dues question from survey
      • Keep survey to one green space area (Strata 771 green space across from where firetruck used to be)
    • Agreed that once green space plans are finalized, GSDC will send budget to KVCA for approval
    • Question asked about if maintenance for green spaces has been discussed, ie. Lake access beside Roger & Karen Sontag's lot.  It has not been discussed but will be added to items to review for GSDC in future meetings
    • Jeff reviewed electrical set up requirements for the 771 lakeside green space.  Until BC Hydro account is set up and application is received and reviewed by BC Hydro, will the design cost be known for hook-up to existing conduits previously installed
    • Board members unanimously approved a maximum of $4,000 from KVCA budget for Jeff to access when cost for connection design is known from BC Hydro. Action: Jeff to inform board of all steps involved
    • Wheels have been installed on the generator
